What to include on a lawyer invoice
Legal billing carries obligations a generic freelance invoice never has to think about — trust accounting rules, matter-based recordkeeping, and cost pass-throughs a client (or a fee-shifting judge) may scrutinize line by line. Here’s what a lawyer invoice needs to hold up to that review:
Firm name and the client matched to a matter
Your firm or bar-registered name, address, and phone, plus the client's full name or entity — matched to the specific matter this invoice covers, not billed as one lump client balance.
Matter number and case caption
The internal matter number and, where one exists, the court case caption or docket number ("Superior Court of California, Case No. CV-2026-01133") so the client's records and any fee-shifting motion tie back to the exact matter.
Billable hours by timekeeper, rate, and matter
Each timekeeper — partner, associate, paralegal — listed separately with hours worked, hourly rate, and a task description. Blending everyone's time into one "legal services" line invites a client to question the bill.
Trust (IOLTA) retainer drawdown or replenishment
If fees are being paid from a client's trust or retainer balance, show the drawdown as its own line — and if the retainer needs topping up, state the replenishment amount and deadline separately from fees earned this period.
Disbursements and court costs, itemized at cost
Filing fees, service of process, court reporter and transcript fees, and expert costs listed individually at the amount actually paid — most bar ethics rules require costs passed through without markup.
Invoice number, billing period, and payment terms

Notice the partner’s and associate’s hours stay on separate lines at their own rates, and the trust drawdown is shown as a credit against fees rather than folded into the total — that’s the level of detail a client’s accounts payable department, or a court reviewing a fee petition, expects to see.

Keep trust funds visibly separate
Never let a retainer drawdown read as a lump deduction from the total. Show it as its own line, note the remaining trust balance, and flag a replenishment deadline before the account runs dry — it mirrors the separation most bar rules require between earned fees and unearned client funds.
Pass court costs through at cost
Filing fees, service of process, and expert or court reporter costs should appear at the amount you actually paid, not marked up. Itemize each disbursement on its own line so it can be checked against a receipt if a client — or a fee-shifting motion — ever asks for one.
Match terms to the client type
Corporate legal departments often run on Net 30 to match their own AP cycle, while individual clients billed hourly do better on Net 15 to keep cash flow predictable. Note your firm’s tax ID on the invoice for any client required to issue you a 1099.
