Privacy Policy

This Privacy Policy explains how SendBilling (“we”, “us”) collects, uses, and protects information when you use our service. By using SendBilling you agree to the practices described here.

1. Information we collect

1.1 Account information

When you sign up we collect your email address, password (stored as a salted hash), and any profile details you choose to provide such as your name, business name, and avatar.

1.2 Business data you create

Invoices, estimates, customers, products, transactions, and attachments you create live in your account. We treat this content as yours — we don't analyze it for any purpose beyond providing the service, and we don't share or sell it.

1.3 Usage and device data

We log technical details about your visit (browser, OS, IP address, pages viewed, error reports) to keep the service running and diagnose problems. These logs are retained for up to 90 days.

1.4 Payment data

Payments are processed by our billing provider (Polar.sh). We never see or store your full card number. We do receive the last 4 digits, expiration, and billing country for receipt and tax purposes.

2. How we use information

  • To provide and operate SendBilling (creating invoices, sending emails, generating PDFs).
  • To process payments and manage your subscription.
  • To send transactional emails (invoices you schedule, billing receipts, password resets, security alerts).
  • To respond to support requests.
  • To detect, prevent, and address abuse, fraud, or technical issues.

We do not use your business data to train AI models or sell it to third parties.

3. International transfers

Our infrastructure runs in multiple regions. By using SendBilling you consent to your data being stored and processed in the United States and the European Union, subject to standard contractual clauses where applicable.

4. Data retention

We keep your account data for as long as your account is active. After you delete an account, we remove all associated content within 30 days, except for records we must retain for tax, accounting, or legal reasons (typically up to 7 years for billing records).

5. Your rights

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate information.
  • Export your data (CSV / PDF exports are available from inside the app at any time).
  • Delete your account and associated data.
  • Object to processing, or restrict it.

Email privacy@sendbilling.comto exercise any of these rights. We'll respond within 30 days.

6. Cookies and local storage

We use cookies and browser local storage for authentication, to remember your active business, and to persist UI preferences (theme, last-opened tab). We do not use third-party advertising cookies or cross-site trackers.

7. Children

SendBilling is not intended for users under 16. We do not knowingly collect data from children. If you believe a minor has signed up, contact us and we'll remove the account.

8. Changes to this policy

We may update this policy from time to time. When we do, we'll update the “last updated” date at the top and, for material changes, notify active users by email at least 14 days before the change takes effect.
