Receipt vs invoice

An invoice and a receipt look similar — both list a business, a customer, an amount, and a date — but they document opposite moments in a transaction. An invoice is a request. You send it before you’ve been paid, and it states what’s owed and when it’s due. A receipt is a confirmation. You issue it after money has changed hands, and it proves the payment happened.

The practical difference shows up in how each one gets used. Invoices go into accounts-receivable tracking: a customer opens it, pays it, and its status moves from unpaid to paid. Receipts go the other direction — a customer or client files them as proof of purchase, for expense reports, tax deductions, warranty claims, or reimbursement. If someone asks “can you send me proof I paid you,” they want a receipt, not another copy of the invoice.

Some payments never involve an invoice at all — cash for a freelance gig, a security deposit, a one-off sale at a market stall — and a receipt is the only paper trail either side gets. What a valid receipt must include

There’s no single legal template, but most jurisdictions and accountants expect the same core fields before they’ll accept a receipt as proof of payment:

  • Who was paid. The business or individual’s name, and ideally a contact detail such as an email or phone number.
  • Who paid. The payer’s name — required for expense claims and tax records.
  • Amount and currency. The exact figure paid, with the currency stated so there’s no ambiguity across borders.
  • Payment method. Cash, card, bank transfer, or another method — this matters for reconciling bank statements against paper receipts.
  • Date of payment. Not the date of service — the date the money actually moved.
  • A receipt number. A unique identifier so both sides can reference this exact payment later, especially if there’s a dispute.
  • What the payment was for. A short description — a product, a service, or the invoice number it settles.
