What to include on a auto mechanic invoice
A repair order rarely comes down to one flat number — a customer is really paying for the diagnosis, the parts, the hours on the lift, and the shop overhead behind the scenes. A generic invoice template flattens all of that into a single line. Here is what an auto mechanic invoice needs to hold up to a customer’s questions and to your own shop records:
Vehicle identification, not just the customer's name
Year, make, model, the last six of the VIN, mileage at drop-off, and license plate. The invoice is really a record about the car — a customer with three vehicles, or an insurer reviewing a claim, needs to know which one this bill covers.
Repair order (RO) number
The RO number ties the invoice back to the original intake sheet, the technician's notes, and any authorization the customer signed. If a warranty question comes up in six months, the RO is what lets you find the job fast.
Diagnostic fee shown separately from repair labor
The time to scan codes and pinpoint the fault is billable whether or not the customer approves the repair. Keep it on its own line so a customer who declines the work still sees exactly what the visit cost, and so it's clear if it's credited toward an approved repair.
Parts itemized with part numbers and OEM vs. aftermarket
List each part — battery, belt, alternator, brake pads — with its part number and whether it's OEM or aftermarket. A customer comparing your invoice to a dealer quote wants to see they weren't charged OEM pricing for an aftermarket part.
Labor hours and shop rate, separate from parts
Show the hours billed and your hourly shop rate on their own line rather than folding labor into a single job price. It's what lets a customer verify the 2.5 hours charged actually matches a typical alternator swap.
Shop supplies fee disclosed, not buried in labor
Rags, disposal fees, and small consumables like grease or fasteners are commonly billed as a flat shop supplies fee. Put it on its own line at a stated amount or percentage — a hidden supplies markup is one of the fastest ways to lose a customer's trust.
Sample line items for an auto mechanic invoice
A single repair order often mixes a fixed diagnostic fee, priced parts, hourly labor, a shop supplies charge, and sales tax on top. Keeping each on its own line is what lets a customer see they weren’t overcharged for a job that took longer to diagnose than to fix:
| Line item | Basis | Rate | Amount |
|---|---|---|---|
| Diagnostic fee | Fixed | — | $89.00 |
| Parts — AGM battery, serpentine belt, alternator (OEM) | Parts | — | $312.75 |
| Labor — alternator & belt replacement | 2.5 hrs | $115/hr | $287.50 |
| Shop supplies fee | Fixed | — | $18.00 |
| Sales tax on parts | 7.25% | — | $22.67 |
| Total due | $729.92 | ||
Notice the diagnostic fee and shop supplies stay separate from parts and labor — that split matters because a customer who approves a repair after a diagnosis should see exactly what the investigation cost, not a single inflated repair price that looks arbitrary.
Auto Mechanic invoicing tips
Credit the diagnostic fee toward an approved repair
Charge the diagnostic fee whether or not the customer proceeds — that bay time is real either way. Many shops credit it toward the repair total if approved on the spot; state that policy on the invoice so it’s never a surprise at checkout.
Check whether your state taxes labor, parts, or both
Sales tax rules on repair labor vary widely by state — some tax parts only, others tax the whole invoice. Confirm your state’s rule, then apply tax to the correct line(s) rather than the total, so the math holds up if a customer checks it.
State your parts and labor warranty separately
Parts and labor often carry different warranty lengths — for example, 12 months / 12,000 miles on parts versus 90 days on labor. Print both on the invoice so a comeback repair is a quick warranty lookup, not a dispute.
Auto mechanic invoice template FAQ
What should an auto mechanic invoice include?
Vehicle identification (year, make, model, VIN, and mileage), a repair order number, the diagnostic fee shown separately from labor, parts itemized with part numbers and OEM-vs-aftermarket noted, labor hours at your shop rate, a shop supplies fee, applicable sales tax, and your parts-and-labor warranty terms.
Should I charge a diagnostic fee if the customer doesn't approve the repair?
Most shops do — the time spent scanning codes and pinpointing the fault is real bay time regardless of whether the customer moves forward. Many shops credit the diagnostic fee toward the repair if it's approved on the spot, and state that policy right on the invoice so it's never a surprise.
Do I charge sales tax on both parts and labor?
It depends on your state — some tax parts and labor together, others tax parts only and exempt labor on repairs. Check your state's rules and, once you know them, calculate tax on the correct line(s) rather than the whole invoice total, so the math matches what a customer expects to see.
