What to include on an accountant invoice

An accounting practice rarely bills one way — the same client can owe hourly bookkeeping fees, a fixed year-end accounts charge, and a per-return filing fee within the same quarter. A generic invoice template leaves you to remember which is which. Here is what an accountant invoice needs to hold up to a client’s own books and to your own record-keeping:

Your firm's details and the client's legal entity

Your firm name, address, and email, plus the client's registered business name and EIN (or SSN for an individual return) — a client's finance team or the IRS record can't be matched to a vague "John" or "the business."

Engagement letter reference

Cite the signed engagement letter this invoice falls under, especially when you handle both recurring bookkeeping and a separate annual return for the same client — it keeps scope and fees traceable to what was agreed.

Billing basis: hourly, per-return, or monthly fee

State plainly whether a line is hourly bookkeeping time, a fixed per-return filing fee, or a flat monthly fee for payroll processing — mixing all three under one "Accounting services" line makes the invoice impossible to audit later.

Service period or tax year covered

Bookkeeping lines need the month reconciled ("June 2026"); return-prep lines need the tax year ("TY2025"). Without this, a client with multiple open years can't tell which invoice pays for which filing.

Your PTIN, EFIN, or CPA license number

If you prepare and e-file returns, include your Preparer Tax Identification Number or license number on the invoice or its footer — many clients' bookkeeping records expect it alongside the fee for their own file-keeping.

Notice bookkeeping stays hourly while the return and the year-end accounts are flat fees — that split matters because hourly bookkeeping scales with a messy set of books, but a filing fee shouldn’t change because a client was disorganized this quarter.
